Agri Meetings, LLC ("Agri Meetings," "we," "us," "our") is a marketing, communications and meeting planning firm based in Danvers, Massachusetts, United States. This policy explains how we collect, use, share and protect personal information in connection with this website and our business.

2. Two different roles

We handle personal information in two distinct capacities, and it matters which one applies to you.

Information you give us directly. When you contact us through this website, by email or by phone, or apply for a position with us, we decide how that information is used. This policy governs it.

Information we handle for our clients. When we plan, market or manage a conference on behalf of a client — a medical society, academic medical center, accredited CME provider or similar organization — we process attendee, faculty and registration information on that client's behalf and under their instructions. That client is responsible for how the information is used, and their own privacy policy governs it. If you have a question or request about a specific event, please contact the organization named as the host or accredited provider for that program. You may also contact us and we will forward your request to the appropriate organization.

3. Information we collect

Information you provide. When you submit our contact form, we collect your name, email address, telephone number, organization and the content of your message. Our contact form is hosted by JotForm, and information you enter is transmitted to and stored by JotForm on our behalf.

Job applicants. If you apply for a position, we will collect the information in your resume and any accompanying correspondence, including your contact details, work history and qualifications.

Information collected automatically. Our hosting provider records standard technical information such as IP address, browser type, device type, pages visited and referring website. This is used for security, performance monitoring and diagnosing problems.

We do not collect payment card information through this website.

4. How we use information

We use personal information to respond to enquiries and prepare proposals; to provide meeting planning, marketing and event management services; to evaluate applications for employment or contract work; to maintain the security and integrity of our website; and to meet legal, contractual, accreditation and record-keeping obligations.

We do not use personal information for automated decision-making or profiling. We do not sell personal information.

5. Cookies and analytics

This website does not use advertising cookies, tracking pixels or third-party analytics tools. Limited technical data may be processed by our hosting provider for security and performance purposes as described above. Forms embedded from JotForm may set cookies necessary for the form to function.

6. Service providers

We use trusted third parties to operate our website and deliver our services. These include our website hosting provider, JotForm for online forms, and, on a per-program basis, registration platforms, email marketing services, virtual meeting and livestream platforms, and certificate and evaluation systems. These providers are permitted to use personal information only to perform services for us or our clients, and are bound by contractual confidentiality and security obligations.

7. When we share information

We do not sell or rent personal information. We share it only with the service providers described above; with the client organization responsible for a program when your enquiry concerns that program; with professional advisers such as accountants and legal counsel; where required by law, regulation, legal process or accreditation body; and in connection with a merger, acquisition or sale of business assets, in which case we will notify you of any change in how your information is handled.

8. How long we keep information

We retain inquiry and correspondence records for as long as necessary to maintain our business relationship and for a reasonable period afterwards. Job application materials are retained for 12 months unless you ask us to remove them sooner. Records relating to accredited educational programs, including participation and credit records, are retained in accordance with the requirements of the relevant accrediting body, and are generally held by or on behalf of the accredited provider rather than by us.

9. Security

We maintain reasonable administrative, technical and physical safeguards designed to protect personal information against loss, misuse and unauthorized access or disclosure. This website is served over an encrypted HTTPS connection. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your rights

You may ask us to provide a copy of the personal information we hold about you, correct information that is inaccurate, delete information we no longer need to retain, or stop sending you marketing communications. Contact us using the details in section 13 and we will respond within the timeframe required by applicable law.

If you are in the European Economic Area, the United Kingdom or Switzerland, you also have the right to request restriction of processing, to object to processing, to receive your information in a portable format, and to withdraw consent where processing is based on consent. Our legal bases for processing are: our legitimate interests in operating and marketing our business; performance of a contract; your consent; and compliance with legal obligations. You have the right to lodge a complaint with your local supervisory authority.

If you are a California resident, you have the right to know what personal information we collect and how it is used, to request deletion or correction, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined under California law. We will not discriminate against you for exercising these rights.

11. International visitors

We are based in the United States and the information we collect is processed and stored in the United States. If you are accessing this website from outside the United States, please be aware that your information may be transferred to and processed in a country whose data protection laws may differ from those of your own.

12. Children

This website is intended for a professional audience and is not directed to children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

14. Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page with a revised "Last updated" date. Material changes will be identified clearly.
