Scope of Work:
- Build and deploy responsive email campaigns in Mailchimp
- Manage and segment email lists to support targeted outreach
- Execute follow-up campaigns for warm and cold non-responders
- Implement automated email workflows, including abandoned registration campaigns linked to our event registration system
- Collaborate closely with the webmaster to ensure proper integration with registration and tracking systems
- Work in coordination with the meeting planning team to align campaigns with event timelines, milestones, and compliance needs
- Participate in weekly check-ins to review progress, timelines, and campaign performance
- Monitor campaign metrics and provide optimization recommendations
Requirements:
- Proven hands-on experience with Mailchimp
- Strong understanding of email list management and segmentation
- Experience building automated and trigger-based email campaigns
- Familiarity with event registration platforms
- Ability to work independently while collaborating with cross-functional teams
- Experience supporting CME or medical education events is strongly preferred
Bonus Qualifications:
- Graphic design experience (email layout, basic visuals, Canva or similar tools)
- Familiarity with Cvent or similar event registration platforms

- Bookkeeper (Part-Time/Contract)

Schedule: Biweekly or monthly support (hours TBD)We are a growing communications and meeting management firm located in Danvers, MA, seeking a reliable and detail-oriented bookkeeper to help establish strong financial systems and provide ongoing bookkeeping support as we expand.
We are looking for someone who can help ensure accurate tracking, reconciliation, and reporting of event-related finances.
Key Responsibilities:
- Track and reconcile event registration income received through Cvent
- Monitor and document refunds processed
- Maintain accurate reporting of net income collected over the lifecycle of each event
- Enter and reconcile expenses in QuickBooks
- Assist with cleaning up and modernizing the existing QuickBooks file, including:
- Updating the chart of accounts
- Aligning workflows with current and future business needs
- Support the setup and maintenance of separate companies and/or projects (most already established)
- Reconcile bank and credit card accounts on a biweekly or monthly basis
- Ensure consistent, clear processes for reviewing and reconciling income and expenses
- Collaborate with internal stakeholders to ensure financial data aligns with event operations
Systems and Tools:
- QuickBooks Desktop 2024
- Cvent (registration and payment reporting)
- Excel / Google Sheets (as needed for reconciliation and reporting)
Ideal Candidate:
- Proven experience in bookkeeping, preferably supporting small businesses or event-based organizations
- Strong working knowledge of QuickBooks (Desktop experience preferred)
- Comfortable reconciling income from third-party platforms (e.g., registration systems, payment processors)
- Highly organized, detail-oriented, and process-driven
- Able to work independently while communicating clearly and proactively
- Local to the Danvers area and available for occasional in-person collaboration (preferred)

- Virtual Meetings Assistant
Seeking tech savvy individuals to assist in the execution of virtual conferences on a contract/per diem basis. The ideal candidate will have exceptional project management and communication skills, the ability to multitask in a fast-paced environment and a heart for client support and customer satisfaction. This position requires proficiency using a computer and tablet often simultaneously, all MS Office applications (Outlook, Word, PPT, Excel), and the ability to provide basic technical support via email and online chat boards. An understanding of the Zoom platform and Slido is helpful. Assignments fluctuate in length and duration. Candidates must have a flexible schedule to work varying conference hours – all days of the week and weekend from our socially-distanced broadcast studio in Danvers or occasionally in Boston.

The onsite meeting management role is a highly visible position, which demands extensive customer service skills, a high level of professionalism and willingness to handle all planning and administrative details at the event. The ideal candidate must be able to work as a team and thrive in a challenging and fast paced atmosphere where prioritizing and multi-tasking are the norm. Exceptional attention to detail and first class organizational skills are mandatory.
Responsibilities May Include:
- Setting up the registration area
- Assembling conference materials (bag stuffing, etc.)
- Interacting with clients and assisting with administrative needs
- Greeting attendees and providing names badges/conference materials
- Welcoming presenters and addressing administrative needs
- Monitoring meeting room sets and signage
- Liaising with the audio-visual teams
- Interacting with attendee in a hospitality capacity
- Interfacing with hotel staff to ensure changes and additions
- Overseeing all food and beverage functions
- Management of dietary requirements
- Coordination of all VIP requirements
- Post-meeting shipping and removal of conference material
Qualifications:
- Certified Meeting Planner (CMP), 3+ years professional meeting planner experience, or equivalent customer service experience
